TaxmanSeKilos
Privacy policy
Effective 13 October 2026
TaxmanSeKilos (“the app”) is a travel logbook made by The Wilderness Software Company (Pty) Ltd, registration number 2017/288979/07, 1023 Melkhout Avenue, Wilderness, 6560, South Africa (“we”, “us”). This policy explains what information the app handles, where it’s kept, and your choices.
The short version
- The app has no account and no sign-up, and we run no server for it.
- Your logbook is stored on your phone. We don’t receive it, see it or sell it.
- The app has no advertising, no analytics and no tracking.
- Location is used only while a GPS trip you started is running, and no route is stored.
- Address search sends what you type in an address field to Apple (on iPhone) or Google (on Android) while you search, so they can suggest addresses. It doesn’t use your location.
- Apart from that, information leaves your phone only when you choose to send it, for example when you share an export or email us, or through your phone’s own backups if you’ve turned them on (see Backups).
Information the app stores on your phone
To keep your logbook, the app saves the following on your phone, in the app’s private storage:
- Vehicles: names, makes and models, registration numbers and odometer readings.
- Places and trips: saved places with their usual distance, default client and purpose, and an optional address with, for an address you picked from address search, its position on the map; trips with their date, time, odometer readings, starting point and destination, business or private classification, client and purpose, and, for a trip measured with GPS, the measured distance.
- Costs and receipts: tolls, parking, fuel and other costs, with an optional note and an optional receipt photo, either copied into the app’s storage or linked to a photo in your photo library.
- Settings: your language, and, if you enter them, your bookkeeper’s email address and the name to show on the logbook.
- A GPS trip in progress: while a GPS trip runs, the distance so far and the last position. The position is deleted when the trip ends. If the app is closed in the middle of a trip, it’s kept until you reopen the app and finish or discard that trip. The route is never stored.
- Exports in progress: an export file you create, and downscaled copies of the receipt photos it includes, are kept in the app’s temporary storage until your next export or the next time the app starts, so the app you share them with can still read them.
This information stays on your phone until you delete it in the app or uninstall the app. When you delete something in the app, it disappears from the logbook at once, and is removed from the phone permanently 30 days later, the next time the app starts. The delay keeps the logbook consistent while a deletion can still be undone. Uninstalling the app deletes its data from the phone, but not copies in your phone’s own backups (see Backups). Receipt photos you only linked (not copied) stay in your photo library.
Permissions the app asks for
The app asks for each permission only when you use the feature that needs it, and works without it:
- Camera (iOS): to photograph a receipt. On Android the app uses the system camera and photo picker, which need no permission.
- Photos: only to link a receipt to a photo that stays in your library (picking a photo to copy uses the system picker). You can give access to selected photos only: on iOS, and on Android 14 and later.
- Location: only while a GPS trip you started is running, to measure the distance. Tracking never starts by itself. On iOS the system shows its location indicator while the app uses location in the background; on Android a notification shows the running trip with a Stop button. Your phone’s location services work out the position: Apple’s Location Services on iOS, and Google Play services on Android. They operate under Apple’s and Google’s own privacy terms and your phone’s location settings.
- Notifications: on Android, to show the running GPS trip; on Android and iOS, for the 1 March reminder to record your odometer reading, and only if you agree to it. The reminder is scheduled on your phone; nothing is sent anywhere.
When information leaves your phone
While you search for an address, when you choose to send it, or through backups you’ve turned on:
- Address search: when you type at least three letters in a place’s address field, or in a new trip’s From or Destination field, the app sends what you typed to Apple’s map search on iPhone, or to Google Places on Android, to suggest matching addresses. When you pick one, it asks for that address and its position on the map. Like any request over the internet, these carry your phone’s IP address and technical details such as its operating-system version; on Android, Google’s Places service also receives your phone’s model and diagnostics about the search. Nothing else from your logbook is sent, and your location isn’t used or asked for. Apple and Google handle these requests under their own privacy policies (Apple, Google). The app doesn’t keep your searches. What you pick is saved like anything you type: as the field’s text, and, for a place, as its address with its position. Without a connection, the fields simply take what you type.
- Exports: when you export your logbook (as a spreadsheet or PDF, which can include receipt photos) and share or email it, the file goes to the app or person you choose. What happens to it then is governed by that app or recipient.
- Emailing support: the Support option in the app opens your mail app with a draft to us. The draft ends with the app version, your phone model, its operating-system version and the app’s language, to help us answer. You can see and change the draft before sending it. We use what you send only to answer you, and keep it only as long as needed for that.
- Your phone’s own backups: if you’ve turned on your phone’s backups, the app’s data can be part of them, under Apple’s or Google’s terms (see Backups).
- Links: the Website link opens our website in your browser.
Apart from address search, the app doesn’t send anything to us or to third parties by itself.
Backups
Android’s automatic app backup is turned off for this app, so your logbook isn’t copied to Google by the system. On iOS, the app’s data is part of your phone’s own backups (iCloud Backup or a computer backup) if you have those turned on, under Apple’s terms.
Security
Your logbook is protected by your phone’s own security: its lock screen and the storage encryption modern phones use. The app has no online account that could be breached.
Children
The app is a tool for keeping a tax logbook and isn’t directed at children. We don’t knowingly collect information from children.
Your rights
Under South Africa’s Protection of Personal Information Act (POPIA), and similar laws elsewhere, you have rights over personal information held about you. Because your logbook stays on your phone, you control it directly: you can view, correct, export and delete it in the app. Deleted items leave the phone permanently after 30 days, as described above. For anything we hold, such as support emails, you can ask us for access, correction or deletion at hello@wilderness-software.com. You may also complain to South Africa’s Information Regulator (inforegulator.org.za).
Our Information Officer is Herman Lintvelt, reachable at hello@wilderness-software.com.
Changes to this policy
If the app starts handling information differently, we’ll update this policy and the effective date above, and describe the change in the app’s release notes.
