Questions
Where is my logbook kept?
On your phone, in the app’s own private storage. There’s no account and no server: we never see your logbook. Receipt photos you take or pick are copied into that storage too, unless you link one that stays in your photo library. Because everything is on the phone, uninstalling the app deletes the logbook, so keep your exports.
Does it need signal or mobile data?
No. Logging trips, GPS trips and exports all work without signal. You only need a connection to share or email an export, and for address search: without one, an address field still takes what you type.
How do GPS trips work?
Tap Start trip with GPS on the home screen and drive. The app measures the distance while the trip runs, even with the screen off; on Android a notification shows it with a Stop button, and on iPhone the blue location indicator shows. Tap Stop trip when you arrive, and the trip sheet opens with the end km filled in from the measured distance. Check it against the odometer before saving: the odometer readings are the record, and the GPS distance is only a suggestion.
Location is used only while a trip you started is running, and no route is stored. To hide the button, turn off GPS quick-start in Settings.
What is a gap?
Each trip starts at the previous odometer reading. If the odometer has moved on since the last trip you logged, the kilometres in between are a gap. TaxmanSeKilos shows it on the Trips and Export screens, and Mark gap as private km fills it with a private trip in one tap. Gaps you leave open appear in an export as “Unaccounted” rows.
How do I export my logbook for SARS?
Open Export, choose the tax year (1 March to the end of February) and one of three files:
- SARS logbook (.xlsx): the opening and closing odometer for the year (from your 1 March readings when you’ve recorded them, otherwise from the trips), the business and private totals, and every trip with its date, readings, distance, starting point, destination, purpose and client.
- Trips + costs for bookkeeper (.xlsx): trips, costs and totals on separate sheets.
- PDF for accountant: the summary, the trip ledger, and your receipt photos.
Then Export & share it, or Email to bookkeeper (set their address in Settings). Each export covers the vehicle you have selected. Private trips are included unless you turn them off.
Does the app remind me to record the 1 March reading?
Yes. SARS asks for your odometer reading at the start and end of each tax year. The reading you take on 1 March is both the opening reading of the new year and the closing reading of the year that just ended, so record one every 1 March. After you record your first one, the app asks whether to remind you: on the morning of 1 March a notification asks for the new reading, and a banner on the home screen does too until you’ve recorded it. Turn the reminder off with 1 March reminder in Settings, or tap Not this year on the banner. A past year’s reading can be added from the vehicle’s edit sheet.
Can I log more than one vehicle?
Yes. Each vehicle has its own odometer and trips. Switch between them from the vehicle name on the home screen.
How do I change the language?
Tap AF or EN at the top of the Log, Trips, Places or Export tab, or choose it in Settings. Until you choose, the app follows your phone’s language: Afrikaans on an Afrikaans phone, English otherwise. Exports use the language you have chosen.
Is my logbook backed up?
On iPhone, the logbook is part of your iCloud or computer backup if you have one turned on. On Android, the app isn’t included in Android’s own backup at present. Either way, your exports are a copy of your records for each tax year, so keep them.
I have a new phone. How do I move my logbook?
On iPhone, setting up the new phone from your old one (or restoring it from an iCloud or computer backup) brings the logbook across. On Android, the logbook can’t be moved to another phone yet, so keep using the old phone for the current tax year if you can, and keep your exports.
How do I delete my data?
Delete trips, places, costs or vehicles in the app; deleted items leave the phone for good after 30 days. Uninstalling the app deletes everything it stored on the phone.
Does the app give tax advice?
No. TaxmanSeKilos keeps the logbook; what you can claim depends on your situation. TaxmanSeKilos is not affiliated with or endorsed by the South African Revenue Service (SARS). Check your claim with your tax practitioner.
What does it cost?
Nothing. There are no ads and no subscriptions.
